For events where there is a DigiMarCon Conference and a TECHSPO Exhibition concurrently at the same venue the Registration Desks will have two sides (similar to the photo below), one side will be orange branded where DigiMarCon Attendees will check-in and the other side will be purple branded where TECHSPO Attendees will check-in.

Working together as a team. To speed up Registration Check-In together Volunteers assisting one another can make the check-in process quick (someone can get the badge and lanyard, someone get the Certificate of Attendance, another can get the Conference Bag).
INFORMATION DESK
The Information Desk is an area where anytime during the Event where DigiMarCon and TECHSPO Attendees can ask questions to the Volunteers (who are acting as Staff). We need to be knowledgeable many aspects of the Event so we are prepared to answer questions.
These activities are recommended;
- Review and become familiar with this Volunteer Reminders page entirely, including a clear understanding of the Registration Check-in Process, the differences between the Pass types, Main Volunteer Activities, Venue Wi-Fi and other important details.
- Download the Event Mobile App and browse all areas of the App, especially the Agenda (take note of the Break times and Session times). Look at the Sessions in the Agenda and consider which Sessions you are most interested in.
- Be familiar with the location of different areas of the venue, such as Auditorium, TECHSPO Hall, Food Hall, Training Theater and Restrooms.
- If you have any questions ask the Venue Operations Manager or other Volunteers who may know.
ONSITE REGISTRATION
Most attendees have already registered prior to arrival. On rare occasions, some people come up to the Registration Desk wishing to Register onsite.
If someone wants to register onsite they must Register online and pay with Credit/Debit card or PayPal. We do not accept cash in person.
Once they have registered online they must show proof of registration confirmation of payment before you can Check them in.
The following are the Registration Links you can give them:
DigiMarCon Canada West 2026 Registration Link: Register here https://digimarconcanadawest.ca/register/
TECHSPO Vancouver Registration Link: Register here https://techspovancouver.ca/register/
The DigiMarCon onsite pass rate is the most expensive rate. So you can inform anyone registering for a DigiMarCon Pass onsite they can use the promo code 200OFF which will discount $200 off their pass.
EVENT MOBILE APP
There is no print Conference and Exhibition Guide, the main resource for all attendees is the Event App which has full details of Attendees, Speakers, Exhibitors, Agenda and other features.
DigiMarCon attendees have a DigiMarCon App which can be downloaded at Apple Store or Google Play Store.
TECHSPO attendees have a TECHSPO App which can be downloaded at Apple Store or Google Play Store.
There will be a Event App standee banner placed near the Registration Deck area with instructions how attendees can download and access the Event App.
VENUE WI-FI
Wi-Fi at the venue is extremely expensive, the venue has exclusivity on Wi-Fi and charges up to $20-$30 for each internet device connection per day or more. Minimizing Wi-Fi connections is important. As such, we do not publicly list the Wi-Fi Network and Password on signs at the Information Desk. We have mostly Free TECHSPO Visitor Pass holders, so we do not want them connecting to our expensive Wi-Fi.
The only attendees who have access to the Wi-Fi are all DigiMarCon Attendees and TECHSPO Exhibitors only. The Emcee will announce to DigiMarCon Attendees the Wi-Fi credentials in his Opening Remarks. However, some attendees may come to the Information Desk and ask what the Wi-Fi Credentials are. If this occurs this is what you can let them know.
Wi-Fi Network: DigiMarCon
Wi-Fi Password: digimarcon
SECURITY
Volunteers together can assist in the overall Security of the Event and prevent theft. We have had stolen equipment at previous events and we want to prevent this from happening again.
Be observant, if you see something unusual or anyone acting suspiciously inform the Venue Operations Manager.
There are different Pass Types for DigiMarCon and TECHSPO. Certain passes have limited access to different parts of the venue.
Anyone that is a TECHSPO Visitor Pass holder wearing a PURPLE Lanyard is not permitted to access the Food Hall area where Food and Beverage is served. They are also not permitted to access the DigiMarCon Auditorium or Receptions. So if you do notice attendees in these areas they should not please inform them.
Everyone at the Venue needs to be wearing a Badge and Lanyard (except the Venue Catering and Management Team who normally would be wearing a name tag lapel). Anyone that does not have a Badge and Lanyard inform the Venue Operations Manager as they should not be there and will need to be removed.
MAIN VOLUNTEER ACTIVITIES
The following summarizes the main Volunteer Activities:
Registration & Information Desk Support
The Registration Desk and Information Desk is where Volunteers will be the most help. The Registration Check-In Process and Information Desk common questions has been specified above.
Volunteers should even spend equal time at the Registration and Information Desk to be fair for everyone on the team. This is an area that can be quiet and boring when there is not much activity.
As a team work out amongst each other who will be manning the Registration & Information Desk during event days at different times.
At the start of Day 1 and 2 from 9am to 10am is the busiest time Volunteers should be at the Registration & Information Desk. After the Session commences and there are no longer queues at the Registration and Information Desk areas, then at a minimum only 2 people need to be at the Registration and Information Desk area. One Volunteer can handle the DigiMarCon side and the other Volunteer can handle the TECHSPO side.
Catchbox Assistant
In the Auditorium during all session times we need to have 2 volunteers passing the audience microphone catchbox for any question and answers from the attendees.
If you have this responsibility be sure to follow these procedures;
1. One Catchbox Assistant is to sit on the left side of the room (ideally 1/3rd of the way in from the left side of the room and sitting at a table on the second row from the front), the other Catchbox Assistant can sit on the right side of the room room (ideally 1/3rd of the way from the right side of the room and sitting at a table on the second row from the front). In this way, one Assistant can handle one side of the room, and the other Assistant can handle the other side.
2. Keep the Catchbox on the table next to you. The volume will always be on the Catchbox, so do not talk, cough, breathe over the Catchbox or it will be heard over the speakers.
3. Pay attention to the Speaker, be alert awaiting any questions (do not be distracted on your phone).
4. When a Speaker asks a question, pickup the Catchbox and stand up. This will indicate to the room that they need to use the Catchbox to prevent them yelling out their comments.
5. When the Speaker selects someone, walk over to near the table the person is seating, ensure you have eye-contact with them and be obvious that you will be throwing the Catchbox.
6. When you are about 6 feet away (2 metres) from them you can throw the Catchbox. Do not give the Catchbox to them, it is meant to be thrown (Be accurate with your throw directly to them and be careful to avoid hitting items on the table such as laptop and glasses of water).
7. If a person ignores you and yells out their question, still walk up to them and interupt them and give them the Catchbox. It is very important attendees always use the Catchbox so their comments can be heard clearly by all people in the room and also those listening to the Live Stream.
Food Hall Monitor
Not all attendees get Food and Beverage included. For this reason we have an isolated area of the venue where all Food and Beverage is served so we can monitor badge credentials. It may be a roped off area within the TECHSPO Hall or it may be in a small independent room. In this way, we can check Badge credentials when they line up to get Food and Beverage and inform those that do not have Food and Beverage in their Pass features that they do not have access.
To easily determine who has access to the Food and Beverage area you just need to be aware of the lanyard color.
All DigiMarCon Attendees which have an ORANGE Lanyard have access (Main Conference, Master Class, All Access, VIP, Speaker Pass holders).
All TECHSPO Attendees which have a BLUE Lanyard have access (Training, All Access, Exhibitor Pass holders).
The only attendees which do not have access are TECHSPO Visitor Pass holders which have a PURPLE Lanyard.
So, an easy way to remember who has access, is anyone that is not wearing a PURPLE color lanyard. Anyone else (ORANGE and BLUE lanyards are fine).
This means that during the Food and Beverage Service times a minimum of 1 Volunteer needs to be standing at the Food and Beverage service location entrance to ensure anyone with TECHSPO Visitor Pass (PURPLE Lanyard) does not access.
To be fair, it is best to rotate amongst the Volunteer team and take turns who will handle this responsibility.
The following are the Food and Beverage Service Times:
Welcome Refreshments: 9am to 10am
Lunch: 12pm to 1:30pm
Afternoon Refreshments: 3pm to 4pm
Live Stream Support
A volunteer is needed to monitor the Live Stream software while speakers are presenting. The volunteer will sit at the AV Tech Table in the Auditorium under the guidance of the Audio-Visual Technician.
The main task will be to change the presentation slides in the Live Stream software every time the Speaker changes a slide on stage.
The Live Stream Support volunteer will also inform the Audio-Visual Technician whenever the Live Stream disconnects so it can be fixed with minimal downtime as well as pass on any messages that may be posted by Virtual Pass streamers requiring technical support.
Chime Ringer
A volunteer is needed to play a three-tone chime (small tone to large tone, large tone to small tone consecutively). The volunteer needs to walk around all areas of the floor and play the chime. The Chime effectively informs many attendees at once that the session is about to begin and it's time for them to return to the Auditorium and take their seat, instead of having to individually inform attendees.
The Chime needs to be played at three different times each day;
Chime 1: 9:55am - This is towards the end of the Welcome Refreshments Break (5 mins prior to the morning session commencing at 10am)
Chime 2: 1:25pm - This is towards the end of the Lunch Break (5 mins prior to the session after lunch which starts at 1:30pm)
Chime 3: 3.55pm - This is towards the end of the Afternoon Refreshments Break (5 mins prior to the final afternoon starting at 4pm)
Please Note:
- So the program keeps to schedule and sessions start on time it is important that the three-tone chime is played exactly at the times listed above (not earlier, and not later).
- Arrange in advance who will play the chime.
- The chime is kept in a box under the Information Desk, after it is used ensure that the chime is put back in the box and placed under the Information Desk.
Reception Greeter
After both event days is a Cocktail Reception. For each reception a volunteer is needed to be a Greeter at the entrance of the Cocktail Reception location. The Volunteer will stand next to the Reception Standee Banner which will be located at the entrance of the Reception location and distribute 2 drink tickets to each Attendee when they arrive. The Attendee can then use the drink tickets for a drink of their choice at the bar.
Please Note:
- All DigiMarCon Attendees can attend the Cocktail Reception (the only DigiMarCon Attendees which do not have access are Exhibition Pass holders)
- No TECHSPO Attendees can attend any Cocktail Reception (except Exhibitors which are permitted)
- The Volunteer is able to hand out additional drink tickets when attendees have used their 2 tickets and request more (1 extra drink ticket at a time).
- The Volunteer Reception Greeter only needs to stand at the entrance of the Reception Venue for the first 15 minutes only after the Conference Program has concluded, after this time they can join the networking and mingle inside the Reception location.
- The best Volunteer to be the Reception Greeter is someone who intends to stay for the full reception time.
- The Volunteer should not be proactively handing our drink tickets in the room.
- The Volunteer should take the Reception Standee Banner and Drink Tickets and wait at the entrance of the Cocktail Reception location 15 mins prior to the starting time to be ready.
DigiMarCon Booth Exhibitor
In the TECHSPO Hall is a DigiMarCon Exhibit booth. The purpose of this space is to handle inquiries and generate leads from attendees who are interested in participating at future DigiMarCon & TECHSPO Event can learn about Speaking, Exhibiting and Advertising opportunities available. The DigiMarCon Booth is also like an Information Desk within the TECHSPO Hall Floor, it's common for attendees to come up and ask general questions that they would at the Information Desk.
During the TECHSPO Hall Open Hours (9am to 4pm) on both days we need to have 1 volunteer minimum manning the DigiMarCon Exhibit Booth on rotation.
At the the DigiMarCon Booth will be some Sponsorship Prospectus brochures, these are for display only (do not distribute them). There will also be some business cards and a business card drop box if they want to setup a meeting with a Sponsorship Manager they can drop their business card if they want to setup a meeting with a Sponsorship Manager.
The brochures should be spread out open on different pages spread on the table;
- one brochure can have the event calendar page open
- one brochure can have the audience profile page open
- one brochure can have the thought leadership opportunities page open
- one brochure can have the exhibiting page open.
Please Note:
- Review the Sponsorship Prospectus brochure to become familiar with different opportunities so you will be able to answer basic questions.
- Do not give anyone the Sponsorship Prospectus brochure to have, it is for display only and we will bring and reuse at other events.
- If there is any time that the booth is unattended, then ensure the brochures are collected and put under the table (so they will not be taken) and also if there is a laptop to put it under the table, and put a 'Be Right Back' table sign on the table. When you return you can place the brochures opened up again on the table and the laptop and put the 'Be Right Back' sign under the table.
HANDLING ONSITE ISSUES
Handling and resolving onsite issues with delegates at a conference requires a combination of effective communication, problem-solving skills, and empathy.
Here's a step-by-step approach for volunteers how to handle and resolve issues:
- Assess the Situation: Approach the delegate calmly and assess the nature and severity of the issue. Determine the delegate's needs and concerns.
- Active Listening: Listen attentively to the delegate's concerns without interrupting. Show empathy and understanding by acknowledging their feelings and perspective.
- Clarify the Issue: Ask clarifying questions to ensure you fully understand the delegate's problem. Restate their concerns to demonstrate that you've understood them correctly.
- Offer Assistance: Provide immediate assistance or information to address the delegate's issue to the best of your ability. This could involve directing them to the appropriate session or speaker, providing logistical support, or connecting them with the appropriate resources.
- Stay Calm and Professional: Maintain a calm and professional demeanor, even if the situation becomes tense or challenging. Avoid becoming defensive or escalating the conflict.
- Problem-Solving: Work collaboratively with the delegate to identify possible solutions to their issue. Brainstorm alternatives and be open to compromise if necessary.
- Seek Help if Needed: If the issue is beyond your expertise or authority to resolve, seek assistance from the Venue Operations Manager. Don't hesitate to escalate the issue if necessary.
By following these steps, volunteer staff can effectively handle and resolve onsite issues with delegates at a conference, ensuring a positive experience for all attendees.
